WHATCOM MOUNTAIN BIKE COALITION RULES OF CONDUCT 

The Whatcom Mountain Bike Coalition would like to create an enjoyable and safe experience for all attending our event on Galbraith Mountain. 

Be an environmental steward with us and embrace “Leave No Trace”. Be mindful to reuse and reduce your landfill waste while ensuring to dispose of recyclables and compostables at available receptacles. Bring non-glass reusable water bottles - filling stations will be available on site.

Acceptable items to bring with you:

  • One bag per person

  • Blankets (maximum size 6’ x 8’)

  • Plastic water bottle

  • Reasonably-sized strollers

  • In the event of rain, handheld umbrellas will be permitted - however, they must not obstruct the view of others

  • Low seat chairs welcome – under 24” H. Please note: there will be a chair-free zone located in front of each stage

  • Small baby beach cabanas

  • Sunscreen

GENERAL POLICIES

All artists, set times, and stages are subject to change without notice.

This is an outdoor, rain or shine event. If the event and its staff deem weather severe enough to impair the safety of guests, programming will be interrupted and announcements regarding safety procedures will be made.

Washington State has lifted proof of vaccine requirement for large gatherings and outdoor mask requirement in most places. We will follow all local regulations and recommend people follow the CDC guidance for events. Do not attend if you are sick.

In the event of an emergency, please follow the instructions of Whatcom Mountain Bike Coalitoin and Emergency Personnel, if present, accordingly. 

Event attendees are responsible for items brought with them, especially your bike. Whatcom Mountain Bike Coalition will provide bike storage on the event grounds and will not be held liable for bike theft.

Whatcom Mountain Bike Coalition and its partner transport and bike valet partners are NOT responsible for any loss or damage to your property, including your bike.

We recommend that guests be ready to display their digital ticket and/or wrist bands to venue officials to verify their attendance. Wrist bands are required for re-entry of the event grounds.

Additionally, guests can be asked for proper ID at any time by servers, staff or security in order to possess or be served alcohol. If the guest cannot present ID proving they are 21, their wristband will be taken. Guests who demonstrate inappropriate or disruptive behavior, including, but not limited to the following, are subject to being removed from the premises:

  • Excessive consumption of alcohol

  • Vaping and smoking cannabis

  • Obscene, offensive or abusive language or actions

  • Fighting, taunting, or threatening remarks or gestures

  • Dangerous, abusive, profane or illegal behavior

  • Unruly or inconsiderate behavior

  • Indecent exposure or undressing

  • Wearing obscene, offensive or indecent clothing

  • Interfering with security procedures

  • Interfering with a performance/game/event; going onto the biking/performance surface or throwing any object onto the biking/performance surface or on the venue premises.

  • Flying a Drone

  • Selling tickets or other merchandise on venue property

  • Handing out goods or literature not pre-approved by the Whatcom Mountain Bike Coalition

  • Any attempt to bring prohibited items into the venue

  • Any other conduct that is beyond the bounds of reasonable behavior for attendees attending a music or bike event.

Pat Down Policy:

In order to provide a safe environment, you and your belongings may be searched upon entry into the venue. By tendering the ticket and entering the venue, you consent to such searches. If you elect not to consent to searches, you will be denied entry into the venue. There will be male-identified and female-identified searchers working events. Guests are encouraged to select the line-up and searchers with whom they feel most comfortable. If you have any questions, please speak to one of our security staff members for assistance.

No Smoking Policy:

In accordance with the Washington State Law, the event venue is a non-smoking facility. As such, guests are not permitted to smoke inside on event grounds or within the event perimeter unless otherwise stated. This includes e-cigarettes, cannabis, and vaporizers.

Cannabis Policy:

Guests are not permitted to bring substances that cause intoxication or impairment into the Galby Grooves event– including alcohol and cannabis. Exceptions will be made for medical cannabis (with appropriate documentation) or other prescription medications. Individuals who have recreational cannabis on their person are encouraged to secure it in their vehicle. Smoking cannabis is prohibited.

Whatcom Mountain Bike Coalition Prohibited Items:

Guests should be aware that any number of items can be subject to security protocol, including search and potential confiscation if warranted.

  • No Outside Beverage

  • No Bota bags

  • No Hula hoops

  • No Balloons, balls or inflatables

  • No Frisbees

  • No Drones

  • No Laser pointers

  • No selfie-stick, flagpoles or banner poles of any kind

  • No Alcoholic beverages of any kind

  • No E-Cigarettes and vaporizers

  • No Narcotics or other illegal drugs including paraphernalia

  • No Cannabis with the exception of medical cannabis. Legal documentation required.

  • No Weapons of any kind and or anything that could be used as a weapon or as a projectile

  • No Gang affiliated clothing

  • No chains or studded bracelets

  • No Glass Bottles of any kind

  • No Large coolers or ice chests

  • No Fireworks, flares, or other pyrotechnics

  • No animals other than service/support animals. Legal documentation required.

  • No promotional or commercial materials not pre-approved by Whatcom Mountain Bike Coalition management

  • No Spray cans, corrosive, flammable substances, dyes or receptacles containing substances which are harmful to health or are highly flammable

  • No Mechanically-operated instruments which produce an excessive volume of noise such as megaphones, air or gas-powered horns

  • No professional photography equipment or cameras with detachable lenses (point-and-shoots without additional lenses are fine).

  • No Sound and video recording equipment

  • No Computers or other devices used for the purposes of transmitting or disseminating sound, pictures, descriptions or results of the events via the internet or other forms of media (No IPads, Tablets, or Selfie Sticks)

  • No Harassment of any Kind

  • No pop-up tents

Whatcom Mountain Bike Coalition Release of Liability

This Accident Waiver and Release of Liability Form (“Release”) between the undersigned participant and WHATCOM MOUNTAIN BIKE COALITION (“WMBC”) in relationship to any and all events sponsored, led, or organized by, or in any way involving the WMBC, including, but not limited to any trail days (“Event”). 

I HEREBY ASSUME ALL OF THE RISKS OF PARTICIPATING AND/OR VOLUNTEERING IN THE EVENT, including by way of example and not limitation, any risks that may arise from negligence or carelessness on the part of the WMBC or other persons being released, from dangerous or defective equipment or property owned, maintained, or controlled by them, or because of their possible liability without fault, and for any acts of any other participant in the Event. 

I HEREBY FURTHER UNDERSTAND AND ASSUME ALL RISKS ASSOCIATED WITH MY POTENTIAL CONTRACTION OF THE CORONAVIRUS DISEASE/COVID-19 WHILE PARTICIPATING IN ANY EVENT. I agree to review and comply with any and all COVID-19 protocols and procedures adopted by WMBC to participate in any Event. I acknowledge and understand that these protocols are not a guarantee that I will not contract the Coronavirus Disease/COVID-19 while participating in the Event, and that WMBC cannot guarantee that all other participants will follow WMBC’s protocols. 

I acknowledge that this Accident Waiver and Release of Liability Form will be used and relied upon by the Event holders, sponsors, and organizers, including WMBC, of the activity or Event in which I may participate, and that it will govern my actions and responsibilities at the Event. 

In consideration of my application and permitting me to participate in this Event, I hereby take action for myself, my executors, administrators, heirs, next of kin, successors, and assigns as follows: In consideration of my application and permitting me to participate in this Event, I hereby take action for myself, my executors, administrators, heirs, next of kin, successors, and assigns as follows: 

(A) I WAIVE, RELEASE, AND DISCHARGE WMBC, and/or its directors, officers, employees, volunteers, representatives, and agents, the activity or Event holders, sponsors, Event volunteers, GALBRAITH TREE FARM, LLC, the CITY OF BELLINGHAM, THE DEPARTMENT OF NATURAL RESOURCES,, USFS, LARRABEE STATE PARK, POLYGON FINANCIAL O5, LLC, BACKCOUNTRY MEDICAL GUIDES EMS volunteers from any and all liability, including but not limited to, liability arising from the negligence or fault of the entities or persons released, for my death, disability, personal injury, property damage, property theft, or actions of any kind which may hereafter occur to me including my traveling to and from this Event; 

(B) I WILL INDEMNIFY, HOLD HARMLESS, DEFEND, AND PROMISE NOT TO SUE WMBC, and/or its directors, officers, employees, volunteers, representatives, and agents, the Event holders, Event sponsors, GALBRAITH TREE FARM, LLC, the CITY OF BELLINGHAM, THE DEPARTMENT OF NATURAL RESOURCES, LARRABEE STATE PARK, USFS, POLYGON FINANCIAL 05, LLC, BACKCOUNTRY MEDICAL GUIDES EMS volunteers, Event volunteers from any and all actions, suits, liabilities, damages, injuries or claims arising out of the Event and/or my participation in this Event, whether caused by the negligence of release or otherwise. 

(C) I hereby acknowledge that participating in these activities presents a risk of personal injury, death and damage or loss of personal property may result from my participation, and as such, I hereby acknowledge and recognize the existence of these risks, and assume all risks completely, and agree to the following: I agree to assume all risks of illness, injury, or death, and hereby agree to release WHATCOM COUNTY, its departments, WHATCOM COUNTY PARKS & RECREATION DEPARTMENT, its officers, agents, activity leaders, employees, volunteers and other parties involved from and against all judgments, damages, penalties, losses, costs, claims, expenses, suits, demands, debts, actions and /or causes of action of any type or nature whatsoever, including actual and reasonable attorney’s fees, which may be sustained or to which they may be exposed, directly or indirectly, by reason of personal injury, death, property damage, or other liability, alleged or proven, resulting or arising out of the performance under this agreement by County. WHATCOM COUNTY does not waive, and specifically reserves the right to assert any and all affirmative defenses and limitations of liability as specifically set forth in Title 4 of the Revised Code of Washington.

I acknowledge that this Event may involve a test of a person’s physical and mental limits and may carry with it the potential for death, serious injury, and property loss. The risks may include, but are not limited to, those caused by terrain, facilities, temperature, weather, condition of participants, equipment, vehicular traffic, actions of other people including, but not limited to, participants, volunteers, spectators, and/or producers of the Event. These risks are not only inherent to participants, but are also present for volunteers. 

(D) I hereby authorize WMBC to use my name, and images of me or my likeness, including, but not limited to films, videos, photographs and otherwise on any medium, including, but not limited to, Facebook, websites, blogs, brochures, newsletters, that were taken or prepared during the Event.

 

I hereby consent to receive medical treatment which may be deemed advisable in case of injury, accident, and/or illness during the Event. 

The accident waiver and release of liability shall be construed broadly to provide a release and waiver to the maximum extent permissible under applicable law.
